Terms of Service

These terms cover your use of PolarFixed AI and PolarFixed Pro (together, “PolarFixed”). By creating an account or using PolarFixed, you agree to them.

What PolarFixed Is

PolarFixed AI answers questions about invoicing and getting paid through Polaris, New York City's payment system. PolarFixed Pro adds digital tools: the Get-Paid Kit, the Pre-Submit Check and the Payment Tracker. PolarFixed does not submit invoices for you and does not connect to Polaris.

Answers Are Help, Not a Guarantee

Answers and reports come from an AI model and can be wrong or out of date. Check them against your purchase order and current official Polaris guidance before you submit. Whether an invoice is accepted or paid is decided by the people who review it, not by us. We don't promise any payment, approval or result.

Your Account

• Keep your sign-in links and codes to yourself. Anything done in your account is your responsibility.
• On PolarFixed Pro, the account owner can add teammates. Teammates share the owner's saved work.
• Give us an email address you check. That's where sign-in links go.

Plans and Billing

Plans are sold through our checkout provider, SamCart. If your plan starts with a free trial, you aren't charged during the trial. After that, your plan renews each billing period until you cancel. Cancellations and refunds are covered on the Refunds & Cancellations page.

Using PolarFixed Fairly

• Use it for your own business and the businesses you work for.
• Don't upload information you don't have the right to share.
• Don't try to break, overload or copy the service, and don't resell access.

We may pause or end an account that breaks these rules.

Your Information and Ours

What you type and upload stays yours. You let us process it to run PolarFixed for you, as described in our Privacy Policy. The PolarFixed software, answers and forms belong to us; you may use them for your business while your plan is active.

Limits on Our Responsibility

PolarFixed is provided as it is. To the extent the law allows, we aren't responsible for indirect or lost-profit losses, and our total responsibility for any claim is limited to what you paid us in the 3 months before it.

Changes

We may update these terms. If a change matters to how you use PolarFixed, we'll tell you by email before it takes effect. These terms are governed by the laws of the State of New York.
